How it works
You’ve stared at a blank reply box plenty of times. The customer wrote a long message, you know what to say, but writing it takes time. The Draft button in the AI Assistant pane sits next to your normal email controls. Click it, and AI reads the email thread, considers your specific instructions, and generates a draft in the tone you choose.
You stay in control. The draft appears in your editor where you can review, edit, regenerate, or send. AI assists; you decide.
A typical flow:
- Open the email you’re replying to
- Look for the AI Assistant panel next to the From/To address selection
- Choose a tone — Professional, Friendly, Brief, Apologetic, or Assertive
- Optionally add specific instructions (“ask about pricing” or “decline politely but leave the door open”)
- Click “Draft”
- AI generates the draft in seconds
- Edit if needed. Send.
If the first draft isn’t quite right, click Redraft with new instructions. The AI sees the current draft and your changes, then refines it. As many iterations as you need.
Five tones to match the moment
Different emails need different voices. AI Draft offers five tone options so each reply fits its purpose.
Professional
Polished, business-appropriate. The default for client communications.
Friendly
Warm and conversational while staying professional. For ongoing relationships.
Brief
Two to four sentences maximum. For when you just need to acknowledge or confirm.
Apologetic
Opens with genuine acknowledgment when something has gone wrong.
Assertive
Clear and direct. States your position confidently without aggression.
Switch tones anytime. Send a friendly first reply, an apologetic follow-up, and a professional close — all in the same thread.
Three model tiers
You choose which AI model handles your drafts based on what matters to you in the moment.
Fast
Quickest responses, usually under a second. Best for short replies and routine drafts when speed matters most.
Standard
Balanced speed and quality. Recommended for most users. Handles longer emails and complex threads well.
Premium
Highest-quality output. Best for complex or high-stakes emails when the message really matters.
Set a default in your settings. Override per-draft when you need something different.
Built into your existing workflow
AI Drafting works inside the email center you already use. No separate window, no copy-paste between apps, no context switching.
Your existing email account integrations (Gmail, Office 365, IMAP, POP) all work the same. Your existing email rules, signatures, and contact data all apply normally. AI just gives you a faster start on the body.
See your usage at a glance
Every draft is logged so you always know where you stand. RedHorse shows you:
- How many drafts you’ve generated this month
- Total usage value
- A complete history (date, user, tone, result)
- A simple progress indicator showing how much of your monthly capacity you’ve used
You control your data
When AI drafts a reply, the email thread you’re replying to is sent to Claude (the AI service that powers this feature). Claude does not retain or train on your data.
RedHorse logs each AI draft locally for usage tracking. You can review your usage anytime in your settings — how many drafts, when, by which user.

Frequently asked questions
Does AI replace email writers in my organization?
No. AI provides a first draft. Your team reads, edits, and decides what to send. The judgment, voice, and accountability stay with you.
What if I don’t like the draft?
Click Redraft with new instructions, and AI tries again. Most users get exactly what they want within 1–2 tries. You can also just edit the draft directly — it’s already in your editor.
Can I keep my existing email signatures?
Yes. AI Draft writes only the body of your reply. Your signature is appended automatically by RedHorse, exactly as it works today.
What languages does AI support?
The same languages Claude supports — English, Spanish, French, German, Italian, Portuguese, Japanese, Chinese, and many others. AI will respond in the language of the email thread.
Can my whole team use AI?
Yes. The plan budget is shared across all users in your installation. Each user can use AI within the monthly capacity. Settings (default model, default tone) can be configured per-user.
Does this work with my existing RedHorse subscription or perpetual license?
Yes. AI is a separate add-on subscription that works alongside both. Buy AI for your installation; everyone using that installation can use AI.
Can I cancel anytime?
Yes. Cancel any time from inside RedHorse or by contacting support. You’ll continue to have AI access until the end of your current billing period.
